We are looking for an experienced Payroll & Administrative Manager to strengthen our Human Resources team.
He/ She will act as the first point of contact for HR-related queries from employees and external partners. Our ideal candidate has in-depth know-how related to HR procedures, is comfortable in juggling with various tasks, meeting the requested deadlines, ensuring the HR department’s support to our colleagues across the entire organization in full compliance with while conforming to employment legislation.
Responsibilities
Payroll Management
- Calculate and manager the company payroll function, including rationalization of payroll, time keeping and other systems
- Develop and implement best practices, key performance indicators and metrics for the function
- Functionally responsible for managing payroll staff to ensure payrolls are processed timely and accurately
- Must understand & comply with all safety rules & company policies
- Oversee and manage the relationships with outsourced payroll vendors
- Maintain effective internal controls and proactively work to identify and implement efficiency improvements
- To the extent possible, drive consistency in payroll practices, controls, and management reporting
- Ensure payroll services are processed in accordance with established group policies and procedures along with all legislative compliance requirements
- Initiate and direct payroll and benefits accounting process improvement activities to maximize the efficient use of resources
- Comply with company policies and government regulations that impact the processing of payroll
- Partner on legal issues such as processing of employee health and welfare benefits, integration of acquisitions/divestitures, changes to HR providers, etc.
- Confer with key stakeholders and leadership regarding payroll needs
- Develop, implement, and maintain tools to track, analyze, and report information pertinent to HR/Payroll System applications
- Responsible of the quality of deliverables, to manage team relationships effectively to ensure exceptional performance
- Maintain relationships with relevant state institutions and regulatory authorities
- Maintain effective communication and serve as the primary point of contact for employees regarding payroll-related inquiries, requests, and issue resolution
Labor Low Compliance
- Negotiating collective bargaining agreements and managing grievance procedures
- Resolving employees' issues and handling complaints to protect the general interests
- Counselling management on issues regarding labor relations
- Advising the staff and the management levels to ensure compliance with the national and company labor legal lows and procedures
- Developing and revising contracts in compliance with the labor low
- Leading labor management meetings and problem solving according to personnel policies
- Conducting paperwork related to labor relations assignments for full cycle of employment period
- Maintaining labor relations related to the private and/or to the public sector, state, and local levels etc.
Administrative Staff Management
- Coordinating, organizing and maintaining personnel records
- Update internal databases (e.g. record sick or maternity leave, etc.)
- Manage HR documents, like employment contracts and new hire guides
- Revise company policies, official documents and keeps them updated in compliance with the low
- Liaise with external partners, like insurance vendors, and ensure legal compliance
- Create regular reports and presentations on HR metrics (e.g. turnover rates)
- Answer employees queries about HR-related issues
- Participate in HR projects implementation
Requirements
- Strong professional background experience in business/economics, labor law compliance advisory, HR management or any other related field
- Specific skills, such as negotiation, mediation, arbitration, and leadership
- Excellent verbal and written communications, strong interpersonal skills
- An understanding of specific labor relations needs and challenges related to a company’s collective bargaining agreement and business strategy
- Strength in situation leadership, ethics, problem-solving, strategic thinking, and cultural competency
- Trusted advisor and partner with business leadership, along with demonstrated project management, analytical and process orientation skills
- Demonstrated success in payroll system strategy, and governance
- Managing complex and competing organizational priorities in a fast-paced environment
- Ability to think strategically, and objectively
- Strong knowledge of individual states’ regulatory requirements, payroll tax requirements, experience of payroll systems
Recruitment and selection steps:
