Position Summary
We are currently recruiting for an Administrative Assistant to provide day-to-day administrative support to the Director and assist in coordinating various agency general services activities and special projects. A key initial responsibility will be supporting the Director with the planned relocation of agency staff to a new office location. This Full-time position starts at $26 per hour and is located in Richmond, VA.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions.

  • Draft correspondence, reports, and other official documents.
  • Schedule meetings and manage calendar activities for internal and external stakeholders.
  • Provide logistical support for meetings and events.
  • Collect and organize data, order office supplies, and maintain inventory of assets and equipment.
  • Attend meetings, prepare agendas, take meeting notes, and develop presentation materials.
  • Conduct research, monitor project progress, and follow up on outstanding deliverables.
  • Communicate regularly with DVS Service Line Directors and Department Director staff to provide updates and guidance on agency activities.
  • Perform other duties as assigned to support the agency’s operations.
  • Efficiently performs duties as assigned and works as a team within division and company.
  • Perform other related duties as assigned.

Required Skills/Abilities

  • Working knowledge of general office practices and procedures
  • Familiarity with office equipment operations
  • Proficient in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams
  • Experience coordinating office operations, including inventory control, supply ordering, and records management
  • Experience managing calendar scheduling and coordinating logistics for meetings and events
  • Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines
  • Ability to follow written and verbal instructions accurately
  • Excellent verbal and written communication skills
  • Ability to prioritize tasks.
  • Ability to effectively communicate to large and small group audiences.
  • Proficient with Microsoft Office Suite or related software.

Education and Experience:

  • High school diploma or equivalent, required.
  • Experience managing office operation special projects, the ability to adapt to frequent project changes and requirements, the ability to adjust work hours as needed, and the ability to travel to DVS locations.

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift and move up to 25 pounds at times.
  • Standard hours of work Monday through Friday, 8:00 am – 5:00 pm.
  • Travel may be required up to 10% of the time.
