Area of responsibility/ Duties
Retail Operations & Store Support (Primary Focus)

  1. Store Documentation: Act as the central point of contact for retail store managers regarding operational paperwork, including the filing of store leases, vendor agreements, and compliance certificates.
  2. Employee Support: Manage and process essential documentation for retail store employees (e.g., shift schedules, timesheet collation, and tracking mandatory Occupational Health & Safety / SSM certifications).
  3. Logistical Assistance: Support the Operations Manager with organizing travel, scheduling regional store visits, and preparing operational reports and presentations.
  4. Vendor Coordination: Assist in liaising with local suppliers, facilities management, and maintenance vendors for both the HQ and the retail storefronts.

HQ Office Administration

  1. Office Management: Oversee daily headquarters operations, managing office supplies, handling incoming/outgoing mail, and ensuring a professional environment.
  2. Meeting & Event Coordination: Organize internal operational meetings, take minutes, and assist with the logistics of local team-building or town-hall events.
  3. IT & Infrastructure Liaison: Coordinate with global/regional IT teams to ensure local HQ staff and new retail stores have the necessary hardware and system access setups.

Ad-Hoc HR Support (Secondary Focus)

  1. Employee Payroll File: Preparing employee files on a monthly basis to be submitted to external payroll vendor for submission to statutory authorities.
  2. Basic Onboarding: Assist the Talent Acquisition Specialist by preparing standard new starter packs, coordinating physical workspace setups, and ensuring new hires complete mandatory local paperwork.
  3. General Inquiries: Serve as a local conduit, routing complex employee queries to the appropriate regional HR Business Partner while answering basic, general policy questions.
  4. Records Maintenance: Assist in scanning and filing HR documentation to ensure local physical and digital personnel files remain compliant with Romanian GDPR (POPIA equivalent) standards.
