Role Overview
The Back Office & Customer Support Specialist plays a key role in ensuring smooth operational and administrative processes for EUROGATE’s transport services. You will manage invoicing tracks, monitor customer activity, process payments, and maintain strong client relationships by providing timely and effective support.
This role combines administrative precision (75%) with client-oriented communication (25%).
Key Responsibilities
Operational & Administrative tasks:
- Perform direct debit operations for customer accounts where applicable.
- Check that all bookings are correctly aligned with ferry operators’ invoices.
- Ensure invoices are issued only after all relevant processes have been verified.
- Monitor customer volumes and renegotiate service terms when required.
- Maintain the emergency booking system (for urgent or non-conform situations).
- Track customer payments and follow up on outstanding balances.
Customer Support & Relationship Management:
- Build and maintain positive relationships with clients through regular communication and feedback collection.
- Understand each client’s portfolio, transport habits, and operational needs.
- Provide tailored service improvements and propose personalized solutions.
- Respond to all customer inquiries within a maximum of 3 hours from receipt.
- Collaborate with internal departments (Accounts, Operations, Management) to resolve customer issues promptly.

Our ideal candidate:
- Minimum 1 year of experience in customer support, back office, or administrative roles (experience in logistics or transport is an advantage).
- Fluent in English (minimum B2 level).
- Strong command of Microsoft Office Suite (Outlook, Word, Excel).
- Excellent organizational skills and attention to detail.
- Ability to prioritize multiple tasks in a dynamic environment.
- Eagerness to learn and deliver efficient, high-quality service.
- Team player with a positive attitude and problem-solving mindset.
- Very good communication skills
