The Business Administration Staff plays a vital role in supporting the company’s daily operations by managing administrative tasks related to accounting, human resources, and legal matters. This position requires strong organizational skills, accuracy, and the ability to manage deadlines effectively. Key responsibilities include preparing and processing internal approval requests, handling monthly closing documentation, maintaining HR and legal records, and coordinating company events and meetings. In addition to routine tasks, the Business Administration staff may contribute to small administrative projects and contribute to improving internal workflows. This role demands a detail-oriented mindset, strong communication skills, and collaboration across departments to ensure smooth business operations.
1. Finance & Accounting Support
- Manage payroll operations and ensure compliance with local tax and labor regulations;
- Manage fixed asset records and oversee periodic asset verification and audits;
- Coordinate with external accounting firms on audits, tax filings, and year-end closings;
- Supervise all financial transactions, including banking operations and corporate card settlements;
- Ensure accurate and timely financial reporting (monthly, ad hoc, and year-end);
- Prepare consolidated financial statements for the company HQ and respond to government tax inquiries;
- Prepare and submit internal approval requests for each transaction through the monthly closing system;
- Continuously improve financial processes for transparency, efficiency, and policy alignment.
2. HR & Administration Support
- Manage payroll, attendance, benefits, and performance-related processes (evaluations, incentives, promotions);
- Support expatriates with visa, housing, and general affairs coordination;
- Manage office operations including access control, IT assets, procurement, and travel;
- Prepare and submit internal approvals/reports (e.g., GIP, compliance updates);
- Oversee the full employee lifecycle, including onboarding, offboarding, contract management, and government registration.
3. Other
- Perform additional tasks as assigned by management or HQ;
- Maintain communication with relevant HQ departments.
