About the Role:
We are looking for a Customer Support Specialist to join our client's team in Cluj-Napoca. In this role, you will be the primary point of contact between the company and its allocated clients, ensuring a high level of customer satisfaction throughout the entire Order-to-Cash cycle — from order processing to post-sales support. You will work closely with internal departments including Sales, Production, Logistics, Finance, and Quality.
Key Responsibilities
Build and maintain strong, long-term relationships with client representatives
Act as the main point of contact for allocated accounts
Manage order processing and provide timely updates on order status
Enter and process orders and forecasts in ERP systems
Monitor on-time delivery (OTD) and ensure timely fulfilment
Provide required documentation (certificates of conformity, customs documents, etc.)
Handle warranty requests, complaints, and repair coordination
Log complaints in ERP and confirm RMA numbers; monitor RMA cases through to closure
Update and maintain sales records in Salesforce
Monitor and analyse KPIs (OTD, lead time, forecast accuracy, complaints, RMA)
Propose and follow up on improvement initiatives
Coordinate resolution of escalated cases across internal departments
Participate in operational meetings (S&OP, planning, performance reviews)
Ensure alignment between customer forecasts and internal production capacity
Act proactively to prevent delays or disruptions in the Order-to-Cash flow
Support implementation of new processes and digital tools, including S4HANA
Contribute to updating procedures and work instructions
Ensure compliance with ISO 9001 / ISO 14001 requirements

Key Requirements
University degree (any relevant field)
Previous experience in customer-facing roles in an international work environment
Hands-on experience with ERP and CRM systems — SAP and Salesforce preferred
Advanced English (written and spoken)
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams)
Nice To Have
Knowledge of logistics processes
Experience in a technical or manufacturing environment
German language skills
Familiarity with PLM or WMS systems
Strong analytical thinking and problem-solving approach
Excellent communication, planning, and organisational skills
Team-oriented with a proactive, responsible attitude
Comfortable working independently and managing multiple priorities
