As our Front Office & Services Administrative Executive Assistant at ENGIE GBS Romania, you will be the heartbeat of our Bucharest office. You will create a welcoming environment for employees and visitors while keeping operations running seamlessly behind the scenes. This role combines front office excellence, administrative finance support, and light executive assistance in a dynamic international setting.
What You'll Do
- Welcome visitors, candidates, and business partners, ensuring a professional and positive first impression at all times.
- Manage daily office operations including reception, meeting room coordination, mail, deliveries, and office supplies.
- Create and manage Purchase Requisitions and Purchase Orders, verify invoices, and track payments in collaboration with Finance and Procurement teams.
- Provide administrative support to the local leadership team, including calendar coordination, travel arrangements, and expense submissions.
- Support onboarding logistics for new employees and assist in organizing internal events, workshops, and engagement initiatives.
- Maintain accurate purchasing records, support budget tracking, and ensure compliance with internal procurement and financial policies.
- Build strong working relationships across departments and act as a reliable point of contact for all office-related queries.
What You Bring
- Bachelor's degree or equivalent professional experience in Office Administration, Office Management, or Executive Assistance.
- Previous experience in a similar role, ideally within an international or corporate environment.
- Fluency in English, French, and Romanian with excellent written and verbal communication skills.
- Strong organizational skills with the ability to manage multiple priorities simultaneously and maintain attention to detail.
- Good knowledge of Microsoft Office Suite; experience with ERP or procurement systems such as SAP is a plus.
- Customer-focused mindset with a proactive approach, high professionalism, and discretion.
- Adaptability and problem-solving abilities in a fast-paced, evolving environment.
Location
Bucharest, Romania. This role is primarily office-based, with the Front Office serving as your main workstation.
