Front Office Assistant (Fixed-Term Contract)


We are looking to hire an organized, communicative person with a positive attitude who will represent the “first impression” of our company and contribute to the smooth running of daily activities.


The contract is for a fixed term of 2 years and 5 months, with the possibility of extension to an indefinite-term contract.


Main Responsibilities:

  • Receiving visitors and providing the necessary assistance throughout their visit.
  • Facilitating effective communication between visitors and the appropriate company contacts.
  • Managing correspondence and the incoming–outgoing registry and redirecting requests to the relevant departments.
  • Providing general administrative support: archiving, data entry, maintaining records of Intrastat invoices, etc.
  • Managing work equipment and hospitality resources (meeting rooms, catering, etc.).
  • Monitoring and purchasing work equipment, hospitality resources, and administrative supplies (office equipment, stationery, etc.).
  • Managing the company’s vehicle fleet: documentation, scheduling maintenance and repair appointments.
  • Supporting the organization of internal and external events, as well as hotel or restaurant reservations.

Requirements:

  • Excellent communication and interpersonal skills.
  • At least intermediate English language proficiency; knowledge of additional foreign languages is an advantage.
  • Professional appearance and behavior.
  • Positive, friendly, and people-oriented attitude.
  • Strong organizational skills, ability to prioritize, and attention to detail.
  • Computer skills (MS Office).
