About the role

The Head of Logistics & Operations will lead all event operations, ensuring every detail, from pre-event checklists to post-event debriefs, runs seamlessly. You will build and maintain relationships with key stakeholders, manage logistics workflows, and ensure technical and operational excellence across all events. This is both a strategic and hands-on leadership role. You will develop operational frameworks, optimize supplier networks, and work closely with the General Manager to ensure that every performance meets the brand’s standards of quality, precision, and impact.

Main tasks and responsibilities

• Stakeholder Coordination: Build and maintain partnerships with sound and light equipment providers, and sound engineers. Coordinate with wedding planners and venue managers to ensure technical alignment and smooth execution.
• Pre-Event Operations: Own and manage the full pre-event checklist in the CRM, ensuring readiness across all departments and vendors. Conduct technical and logistical on-site visits or briefings before every show.
• On-Site Execution Oversight: Coordinate remotely during event days, supervising sound engineers, logistics assistants, and technical teams to ensure flawless on-site setup and performance.
• Vendor and Resource Management: Negotiate, source, and evaluate suppliers. Oversee procurement, inventory management, and cost control for logistics-related assets.
• Operational Planning: Develop and refine logistics processes and event playbooks to standardize execution across all event types.
• Quality and Risk Management: Anticipate potential risks, establish contingency plans, and monitor performance KPIs such as punctuality, setup accuracy, equipment reliability, and vendor satisfaction.
• Post-Event Analysis: Conduct structured post-mortems after each event, recording success factors, incidents, and improvement actions in the CRM to drive continuous learning.
• Leadership: Provide guidance and indirect coordination to collaborators and event support staff, fostering accountability, communication, and a culture of excellence.
• Collaboration: Work cross-functionally with the commercial team and external stakeholders to align logistics with business objectives.
• Ownership of Success Metrics: Take full accountability for key operational success indicators, including on-time event delivery, zero critical incident rate, supplier and artist satisfaction, cost efficiency, and overall client experience quality.

About you

• You have 5+ years of experience in live event logistics, sound production, or operations management, ideally within the entertainment, music, or event production industry.
• Strong track record in vendor management, logistics coordination, and technical event planning.
• Skilled in budget oversight, procurement, and operational cost control.
• Excellent organizational skills and attention to detail, with a structured approach to planning and execution.
• Hands-on and proactive, able to identify potential issues early and implement quick, effective solutions.
• Strong communicator with leadership and negotiation skills, able to manage both people and partners effectively.
• Comfortable with CRM and workflow management tools.
• Fluent in English and Romanian, both written and spoken.
• Willing to work flexibly, including occasional weekends or evenings during peak event periods.
