Great! Here you’ll be our resourceful troubleshooter, fully focused on adding value while anticipating and solving any problems that come our way.


As a HR and Business Support Specialist, you’ll be the catalyst that holds the team together, ensuring seamless operations from office management to HR support and team assistance.


You’ll be the go-to person for providing administrative support to the team, assisting with HR admin and recruiting-related tasks, researching various topics and managing the "backstage” of event planning, supporting the leadership team, handling office operations and facility management, coordinating with vendors and service providers, and sourcing new partners along the way.


WHAT YOU'LL DO

Office Admin

  • Oversee office operations and facility management.
  • Manage supplies, equipment, and furniture inventory.
  • Coordinate with vendors and service providers for seamless operations.
  • Source new partners and maintain existing relationships.
  • Organize and manage financial and business documents.
  • Provide admin support to the team with all office-related issues.
  • Provide a professional welcome to visitors.
  • Manage reception, conference rooms, and common areas.
  • Ensure safety and cleanliness standards are met.


HR

  • Assist in recruiting efforts, source candidates, actively grow our database, and schedule interviews.
  • Manage communication with candidates throughout the hiring process.
  • Data entry to maintain candidate pipelines, employee records and other HR databases.
  • Assist in administering leave, on- and off- boarding processes.
  • Support payroll administration and Health, Safety, and Security procedures.


Team and Leadership Support

  • Schedule meetings and appointments, handle correspondence, and manage documents.
  • Support the leadership team with meeting notes, printing / photocopying, calendar management, and travel arrangements.
  • Conduct research on various topics to support business initiatives.
  • Ensure communication and maintain relations with business partners.


Event Planning

  • Plan, organize, and provide support for company events (employer branding and career events, conferences, regional meetings, team events, protocol activities).
  • Coordinate logistics and vendor relations.
  • Manage the timeline and associated budgets.


Accounting & Documentation

  • Collect and organize invoices & receipts for efficient month-end closing.
  • Prepare document drafts, reports, and analyses on request.
  • Translate official documents.
  • Track business correspondence and maintain document records.


YOUR QUALIFICATIONS

  • Bachelor’s degree in Business Administration, Management, or a related field preferred.
  • 1+ years of experience in office administration or a people-facing role, ideally within a startup or tech company. HR and/or event planning experience is a plus.
  • Basic understanding of financial principles and ability to manage office budgets effectively. Experience with financial reports is a plus.
  • Basic knowledge of HR & admin processes, including recruiting, on- and off-boarding, time off, payroll, and health and safety.
  • Proficient in using office / productivity tools (docs, spreadsheets, databasesetc).
  • Use of AI tools with intent, strong judgment, high standards, and ownership over the final result (not autopilot).
  • Familiarity with IT equipment for inventory management and troubleshooting.
  • Proficiency in written and spoken English.
