Job Objectives

Carrying out activities related to the recording of working time, salary and leave entitlements of company employees, as well as maintaining and updating the employee database.


Main Duties and Responsibilities

  • Periodically verifies attendance timesheets, ensuring that all elements related to presence at work and absences by cause are correctly included, in compliance with the Collective Labor Agreement and applicable legislation.
  • Verifies employees’ annual leave entitlements based on requests registered in the system, ensuring compliance with legal and contractual provisions.
  • Keeps records of requests for special leave, unpaid leave, permissions, unexcused absences, and other types of absences already approved by management, ensuring compliance with the Collective Labor Agreement when granting employee rights.
  • Keeps records of employee transfers between positions within the company and operates these movements in the database, including all related changes.
  • Updates the personnel and payroll database with salary-related changes occurring during the month.
  • Prepares addenda to individual employment contracts, in compliance with legal provisions regarding content and preparation deadlines.
  • Communicates salary changes occurring during the month to the Treasury Department in order to update the amount of mid-month salary advances.
  • Calculates the value of benefits provided by the Collective Labor Agreement and requested by employees through applications (birth allowance, death allowance, retirement benefits, etc.) and communicates them to the Treasury Department for payment.
  • Notifies the Cluj Labor Inspectorate (ITM Cluj) and/or other labor inspectorates in the country regarding the pregnancy status of company employees, in order to comply with the provisions of Government Emergency Ordinance no. 96/2003.
  • Verifies and ensures compliance with company policies and the Collective Labor Agreement when granting bonuses and incentives, and communicates approved bonuses to the Treasury Department for payment.
  • Prepares all monthly provisions requested by the Accounting Department or other authorized internal structures, based on available information regarding employees’ salary rights, in compliance with established deadlines and procedures.
  • Has access and operating rights in the General Register of Employees (REGES ONLINE).
  • Is responsible for the correct and timely entry of all data and changes regarding employment relationships in REGES ONLINE, in accordance with Government Decision no. 295/2025 and applicable legislation.
  • Is accountable for any action or omission that may impact compliance with legal obligations regarding employee records.
  • Monitors legislative changes applicable to labor relations and informs the Human Resources Director of any amendments to the Labor Code.
  • Collaborates in the creation or updating of procedures issued or existing within the department.


Knowledge, Experience, and Skills

Education

  • Bachelor degree in Economics

Work Experience

  • In the field: minimum 3 years
  • In the position: minimum 2 years

Knowledge

  • Knowledge of the Labor Code, Fiscal Code, and Pension Law.
  • Knowledge of the payroll software and/or SAP.
  • PC operation skills (Word, Excel) at high level
  • Courses specific to the field of activity, labor legislation and payroll.

Foreign Languages

  • English – medium/high level
