Role Overview
The IT Contract Manager is responsible for the centralized coordination and administration of all ICT-related contracts within the bank, covering both IT and Business unit-initiated service agreements. This role ensures proper documentation, approval workflows, renewals, and compliance with internal and external regulatory requirements.
The role acts as a bridge between IT, Legal, ISM and Business units—ensuring that ICT vendor contracts are properly evaluated, approved, recorded, and monitored throughout their lifecycle. A strong focus is placed on standardization, audit readiness, and lifecycle transparency in line with DORA expectations.
Key Responsibilities
Here are the key functional responsibilities of an IT Contract Manager:
1.Contract Lifecycle Management
- Coordinate the full lifecycle of ICT-related contracts, including drafting, negotiation, approval routing, execution, renewal and termination (archiving).
- Ensure all contracts are registered in the central CMDB and relevant documentation (SLAs, Data Processing Agreements, DORA Addendums) is attached.
- Manage the contract renewal and termination tracking process, including proactive reminders and follow-up actions.
2.Procurement Coordination
- Work closely with the IT Support Manager to validate contract-related purchases and ensure they align with internal guidelines.
- Act as a liaison between Business/IT requesters and vendors to ensure requirements are clearly reflected in contractual documents.
- Support vendor comparison, price negotiations, and delivery terms in collaboration with stakeholders.
3.Regulatory & Compliance Alignment
- Ensure all ICT contracts comply with DORA obligations (e.g., risk classification, audit rights, exit strategies, service level commitments).
- Coordinate with ISM, Compliance, and Legal to review third-party risk assessments and integrate their feedback into the contracting process.
- Maintain version control and audit-proof documentation of all contract approvals and amendments.
4.Administration & Reporting
- Maintain an organized, centralized overview of all contracts in TopDesk (or similar systems), clearly linked to owners, departments, and expiration dates.
- Provide regular reporting on contract status, expiring agreements, renewal pipeline, and compliance indicators.
5.Continuous Improvement & Standardization
- Develop and maintain standard contract templates in coordination with Legal and Compliance.
- Identify process gaps and propose improvements to contract workflows, digital approvals, and documentation structure.
- Promote best practices and support internal teams in adhering to proper procedures.
Requirements
Education & Experience
- Bachelor’s degree in business administration, IT Management, or a related field
- 3–6 years of experience in contract management, vendor coordination, or procurement within a corporate or regulated environment
- Familiarity with ICT services, licensing models, and vendor relationship management
- Working knowledge of DORA, GDPR, or similar regulatory frameworks is a strong asset
Skills & Competencies
- Strong attention to detail and structured working style
- Excellent communication and stakeholder coordination skills
- Able to work across departments (IT, Legal, ISM, Compliance, Procurement)
- Proficient in contract management tools (e.g., TopDesk, CMDB)
- Ability to interpret contractual terms and flag risks/ambiguities
- Fluent in English (written and verbal)
