IT Purchasing & Support Contract Admin

Responsibilities:

  • Execute the end‑to‑end BANF‑to‑PO process according to purchasing policies and SOPs;
  • Review BANFs for completeness, correctness, approvals, and compliance;
  • Ensure contract coverage and correct linkage between BANF, contract, and PO;
  • Convert approved BANFs into POs or prepare for buyer release;
  • Monitor BANF queues, cycle times, and escalate deviations;
  • Maintain purchasing contracts and amendments in CLM systems;
  • Track contract validity and prevent non‑covered spend;
  • Support price updates and commercial changes impacting PO creation;
  • Provide contract and pricing clarification for Purchasing and requesters;
  • Maintain supplier master data relevant for ordering and invoicing;
  • Act as first‑level contact for suppliers on PO and contract execution;
  • Support operational supplier performance and follow‑up actions;
  • Ensure POs reflect correct contract terms and conditions;
  • Support resolution of PO and invoice discrepancies;
  • Coordinate with Finance / Accounts Payable on invoice blocks;
  • Ensure adherence to procurement governance and approval rules;
  • Support audits with BANF, PO, and contract documentation;
  • Prepare operational reports (open BANFs, contract coverage, PO volumes).

Qualifications:

  • Bachelor’s degree in Economics, Business Administration, or a comparable field;
  • Fluent in English, additional German or French language is an advantage;
  • Experience in operational purchasing, BANF‑to‑PO processing, or contract administration;
  • Solid understanding of procurement processes and contract compliance;
  • Hands‑on ERP experience (e.g. SAP MM);
  • Structured, detail‑oriented, and process‑driven working style;
  • Strong service mindset and communication skills.
