Are you the master of juggling tasks and making sure everything runs smoothly? Do you have a passion for organization with a dash of wanderlust? We're looking for a Junior Operations Coordinator to join our travel team and help us keep the wheels turning on unforgettable journeys. If you're ready to be the behind-the-scenes hero of adventure, this role is calling your name!


This is an entry-level job that suits italian or german or mandarin and english speakers who want to kick off their career in tourism. This is a hybrid position with required on-site office presence.


What you will be doing:



Coordinating logistics: fx: checking opening hours and timings on itineraries.


Handle supplier facing services such as: Booking/ amending and cancelling accommodations, transport, and activities etc. via phone, e-mail and though our own software. 


Possibility to be in contact with the Tour Leader during the tour on a regular basis to make further adjustments in the program if needed and solve all problems.


To double check, get the final travel documents ready and send them to the client or the Copenhagen Office.

Documents include but are not limited to: itinerary overview, rooming lists, vouchers and entrance tickets.


Assist with client’s inquiries for ongoing tours, providing information and support as needed.


Updating system with latest sold numbers from clients when needed.


Prepare and send invoices to the clients on time.


Monitor if payment conditions are respected, and/or that invoices are accurate and/or on time. Report eventual delays to the line manager.  


Close communication and collaboration with Sales and Operations team located in Copenhagen. 


Provide feedback to sales team to optimize future itineraries and enhance client experience. 


Provide support and/or cover for other departments/colleagues when needed.


Supplier invoice reconciliation. 


Engage in on-the-job training to understand tour operations and industry standards.


Actively participate in learning opportunities to broaden knowledge of travel logistics. 


Who you are:



English Proficiency

• Italian, German, or Mandarin as a second language

• Passion for the travel and tourism industry.


Strong organizational skills and attention to detail.


Excellent communication and interpersonal abilities.


Relevant education or coursework is a plus.


Specific language skills may be required depending on market.


You have a high level of written and spoken English.


Good computer skills and fluency with Microsoft office package
