Your Tasks
- Office Management responsibilities related to the coordination of the office;
- Ensures the proper functioning of the office space and resolves issues in case those will occur;
- Takes care of the proper and on time coordination of the courier deliveries for employees;
- Offers support for reservations (eg: hotel, conferences, restaurants, etc) and logistics for colleagues and guests when it is required;
- Ensures in a proper way and timely office supplies and places orders as per the office practice;
- Takes phone calls and re-direct them if needed to other departments or functions;
- Offers administrative support for all the functions or departments;
- Contract management for office management and HR vendors: checking contracts, being the point of contact for vendors regarding those contracts;
- Controls the budget for the vendors in their area of responsibility (eg: courier services vendor, EHS, mobile telephony, fleet management services, travel agency, etc)
- Event management, organizing the on-site logistics of HR events such as workshops and CSR days;
- Car fleet management, handling the on-site logistics of the car fleet in coordination with the external fleet manager;
- Supporting the HR Manager in rollout of key HR interventions and employee relations topics;
- Staying abreast of changes in local labor law and keeps the phisical employment files updated;
- Handling of local onboarding activities for new employees;
- Corporate Social Responsibility: Support local CSR initiatives in the country/cluster;
- Health & Safety: ensures local compliance regarding health and safety in the country/cluster under the direction of the EHS vendor and with support from the HR Manager.

Professional Experience
- Experience of interacting with employees and people at multiple levels in an organization;
- Experience in office management tasks;
- University Degree
- English skills - conversational and written advanced.
