Role Description

We're looking for a Project Manager to join our team located in Bucharest, Romania. This is a full-time role coordinating structured, client-facing design and development projects from kickoff through delivery. Our clients range from B2B/SaaS companies to large players in the American eCommerce industry.

The Project Manager is the operational backbone of the studio: owning timelines, managing client communication, coordinating designers and development collaborators, and making sure nothing falls through the cracks. The role works with clear milestones, daily syncs, and trackable deliverables. It reports directly to the studio lead (15+ years of experience across 50+ companies) and involves close collaboration on process design as the studio scales.

This is a hands-on role with a hybrid work arrangement allowing up to 4 days remote work.

Responsibilities

• Plan, scope, and track projects across multiple concurrent client engagements
• Own client communication: status updates, meeting facilitation, expectation management
• Coordinate internal designers and external collaborators (developers, specialists)
• Maintain project documentation, timelines, and resource allocation
• Identify risks and blockers early and propose solutions before they escalate
• Run daily syncs and structure weekly planning
• Translate client requirements into clear, actionable tasks for the team
• Support proposal preparation, estimations, and scope definitions for new projects
• Improve internal processes and tooling as the studio grows

Qualifications

Required:

• 2-5 years of project management experience in a digital environment (agency, software, product)
• Proven track record of delivering client-facing projects on time and within scope
• Excellent written and verbal communication in Romanian and English (US/EU clients require confident English)
• Strong organizational skills and genuine attention to detail
• Familiarity with the digital product lifecycle: design, development, QA, delivery
• Comfort with project management tools (Notion, Linear, Jira, Airtable, or similar)
• Ability to manage upward, sideways, and outward without needing constant direction
• Calm under pressure and diplomatic in difficult client conversations

Preferred:

• Experience in a design agency or product studio environment
• Understanding of UX/UI processes and terminology
• Familiarity with no-code tools and automation (n8n, Make, Zapier)
• Experience with US-based clients and working across time zones
• Basic understanding of development workflows (sprints, releases, technical constraints)
