About the role
AirportLabs provides a complete suite of products that drive efficiency in aviation. Our products and solutions help major airports, airlines, and ground handlers worldwide solve the hardest operational problems, improve efficiency, and develop the value of their services.
We are looking for a Project Manager to join our PMO team - someone who can take individual customer implementations from plan to go-live with clarity, discipline, and calm execution.
AirportLabs operates 10 SaaS products for airports, airlines, and ground handlers. These are operationally critical systems - our software runs inside live airport operations, and a missed go-live or a poor cutover does not just inconvenience a customer, it can affect real flight schedules and real passengers. Implementations are not simple software roll-outs: they involve customer operations teams, airport IT and security reviews, integration dependencies (AODB, departure control, identity, customer-side systems), product team capacity, testing windows, training, go-live readiness, and post-go-live handover. Your job is to make these moving parts visible, coordinated, and predictable.
This is a hands-on individual contributor role. You will own the day-to-day project governance for assigned customer implementations: project plans, status reporting, RAID logs, customer cadence, internal coordination, change control, go-live readiness, and a clean handover into Customer Success and Service Delivery and Support.

- Income: 2300-3400 GBP gross salary/month, depending on role fit and experience level

Responsibilities
- Own project governance for assigned customer implementations: project plan, milestones, RAID log, decision log, status report, change log, and meeting cadence.
- Coordinate customer-facing implementation activity across customer stakeholders, Lead Implementation, Implementation Consultants, product teams, Customer Success, Service Delivery, and support functions.
- Translate commercial commitments and implementation scope into realistic project plans, validating assumptions before timelines are promised or changed. Contribute pre-sales schedule reality-checks when the PMO needs input from active or comparable implementations.
- Track project risks, dependencies, issues, customer-owned actions, and internal blockers. Escalate early with options and recommendations.
- Run weekly project status reporting: milestone health, schedule variance, scope changes, open decisions, risks, dependencies, and next actions.
- Manage change control for scope, timeline, and resource changes so delivery remains controlled and customer expectations remain aligned.
- Coordinate go-live readiness: testing evidence, acceptance criteria, training completion, support readiness, operational handover, rollback considerations, and customer sign-off. For regulated customers, ensure compliance and audit-evidence requirements are captured at the right point in the lifecycle.
- Make handover to Customer Success and Service Delivery and Support a deliverable, not a courtesy: open risks, known issues, support contacts, configuration documentation, and knowledge-base content must be in place at go-live.
- Run post-implementation reviews and feed lessons learned into PMO templates, checklists, and delivery playbooks.
- Use approved AI tools to accelerate meeting summaries, action tracking, documentation, dependency review, and schedule-risk analysis, while remaining accountable for the quality of the work.
Qualifications & skills
- 3+ years in project management, implementation management, delivery management, or similar roles in B2B SaaS, enterprise software, systems integration, or complex technology delivery.
- Experience coordinating customer-facing implementation projects with multiple internal and external stakeholders.
- Strong planning discipline: project plans, milestone tracking, RAID logs, decision logs, status reporting, change control, and go-live readiness.
- Ability to manage scope, schedule, dependencies, and customer expectations without over-promising or hiding risk.
- Excellent written and verbal communication. You can make complex delivery status easy to understand and easy to act on.
- Comfortable working with product, engineering, implementation, customer success, service delivery, sales, and customer IT/operations stakeholders.
- Comfortable working in a matrix environment where influence comes from clarity, evidence, structure, and timely escalation.
- Fluency in Romanian and strong English communication skills are required for internal and customer collaboration.
- Familiarity with project management tools, documentation systems, and AI-assisted productivity tools.
Nice to have
- Experience delivering software into airports, aviation, transportation, government, healthcare, financial services, or another regulated / operationally critical environment
- Experience with SaaS implementations, enterprise integrations, data migration, customer testing, or go-live cutover planning
- Familiarity with PMI / PMP, PRINCE2, AgilePM, Scrum, or hybrid delivery practices
- Experience with customer-facing executive status reporting
- Experience building or improving delivery templates, checklists, project playbooks, or PMO processes
- Familiarity with cybersecurity, compliance, or IT approval processes in enterprise customer environments
Our recruitment process
We will use a two-step process for the recruitment of this role:
- Practical exercise - candidates selected based on CV & motivation description will receive a realistic implementation scenario by email. You will be expected to produce a project plan, RAID assessment, customer and internal communication, and a go-live readiness judgment within 4 working days. We expect this to take around 6-8 hours of focused work - it is a screening exercise, not a consulting deliverable. You may use AI tools to assist, but the judgment, prioritisation, and recommendations must be yours.
- Interview - candidates whose exercise meets the bar are invited to a single interview (around 90 minutes). The first part is a structured walkthrough of your exercise: how you built the plan, why you prioritised the risks the way you did, how you would adjust your communication, and how you would handle the go-live decision. The second part covers your project delivery experience, stakeholder management approach, change-control judgment, escalation discipline, and how you would operate inside a directive PMO with matrix-based authority.
We have deliberately put the practical exercise first so that we evaluate real project judgment - not interview performance - before investing your time in interviews. If your exercise does not meet the bar, we will tell you.
