About the Role: As a CBRE Receptionist, you will provide administrative tasks to a department or office. This includes greeting visitors, answering calls, setting up meeting rooms, and other duties.
This job is part of the Workplace Experience function. They are responsible for providing world-class customer service to the clients and visitors of a designated building.
What You'll Do:
- Receiving and directing requests to the appropriate individuals or departments, including message management.
- Greet clients, applicants, and visitors, direct them, and manage access to the building, including issuing permits and enforcing security procedures.
- Manage visitor registration and flow, notify hosts, and monitor occupancy.
- Assist visitors during wait times and provide general information about the location, organization, and services, directing complex requests to specialized functions.
- Respond to and route internal and external requests (including expense management and support requests) and ensure they are routed to the appropriate teams.
- Schedule and manage meetings, update calendars, and coordinate room and facility usage.
- Prepare and set up meeting rooms (including equipment, catering, and support), and request cleaning and maintenance services as needed.
- Managing correspondence and deliveries (receiving, sorting, distributing, tracking), including organising courier and hospitality services for visitors. 1.3.9 Carrying out general administrative tasks and maintaining up-to-date records, including recording relevant activities and preparing operational reports (visitors, incidents, complaints).
- Ensuring the daily preparation of the reception area, including the functionality of equipment and the availability of necessary materials.
- Maintaining order, cleanliness and a professional image of the reception area and adjacent spaces.
- Maintaining effective communication with internal teams (FM, security, housekeeping, HR, etc.) to coordinate activities and manage unforeseen situations.
- Receiving and handling basic visitor requests and complaints, escalating complex situations according to internal procedures.
- Supporting operational activities (e.g. FM assistance, fault reporting, request tracking) to ensure the efficient operation of the location.
- Respecting internal procedures and processes, acting within the limits of defined responsibilities and under coordination.
- Maintaining a safe and compliant environment, including by complying with security requirements and reporting incidents.
- Ensuring a consistent professional image through appropriate behavior, communication and presentation.
What You'll Need:
- High School Diploma or GED with 2-3 years of job-related experience.
- An established understanding of work routines and standards and applying skills and knowledge in a range of processes, procedures, and systems are required.
- Requires intermediate problem-solving skills with the capacity to review and select solutions from available options without supervisory approval.
- Ability to explain detailed and complicated information within the team clearly and concisely.
- Advanced knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
- Strong organizational skills with a robust inquisitive mindset.
- General math skills. Ability to calculate advanced figures such as percentages, discounts, and markups. or complicated information within the team.
- Positive attitude, based on solutions and bringing added value to the team
- Customer service oriented and brings solid knowledge to manage and create a good professional relationship with the client
- Advanced English language skills, both verbal and written, native level Romanian language skills
- Experience in coordinating people and excellent communication skills
- Active person who can manage several projects in parallel
- Fulfilling the physical requirements of the role: bending, standing, walking, climbing stairs/fixed ladders, lifting weights
- Skills to understand and comply with the rules and procedures of the activity in an intensely procedural environment
- Use of specialized software
