What You'll Be Doing

  • Leading the team responsible for reorganization and eDiscovery activities within Windows File Services, ensuring compliant, reliable, and timely service delivery.
  • Managing and coordinating all reorganization and eDiscovery requests, including prioritization, assignment, tracking, and stakeholder communication.
  • Overseeing the execution of approved reorganization tasks and ensuring activities are completed in line with defined procedures, approvals, and SLA timelines.
  • Ensuring audit-ready documentation is maintained for all activities, including request details, approvals, execution evidence, validation results, and compliance records.
  • Overseeing adherence to ITIL processes and compliance standards across Change, Incident, Request, and Continuous Service Improvement activities.
  • Driving continuous service improvement initiatives and identifying opportunities for automation, standardization, and operational efficiency.
  • Collaborating with the Continuous Service Improvement team to review improvement opportunities and support implementation of agreed enhancements.
  • Acting as the escalation point for operational issues, complex requests, process deviations, and stakeholder concerns.
  • Serving as the primary point of contact for stakeholders and ensuring clear communication in German and English for RO-based operations.
  • Preparing and delivering KPI and SLA reports for management, highlighting performance, risks, trends, and improvement actions.
  • Facilitating CAB meetings, improvement workshops, and operational reviews to support effective governance and decision-making.
  • Supporting organizational change activities and ensuring process changes are communicated, documented, and adopted effectively.
  • Collaborating with technical, compliance, audit, and management stakeholders to ensure effective coordination, escalation, and service continuity.
  • Maintaining and improving process documentation, runbooks, reporting templates, and knowledge base articles.
  • Ensuring all activities comply with security, governance, compliance, and audit requirements.

What You'll Bring Along

  • Bachelor’s degree in Information Technology or a related field, or equivalent professional experience.
  • Minimum 10 years of proven experience leading IT operations teams in enterprise environments.
  • Strong experience managing reorganization and eDiscovery activities within Windows File Services or related enterprise file service environments.
  • Strong understanding of Windows File Services structures, delegated rights, access management, and operational governance.
  • Experience in organizational change, process improvement, service optimization, and operational transformation.
  • Strong expertise in ITIL processes, including Change, Continuous Service Improvement, Incident, and Request Management.
  • Experience overseeing process adherence, SLA performance, KPI reporting, and operational governance.
  • Familiarity with compliance and audit requirements, including maintaining audit-ready documentation and evidence.
  • Ability to identify automation opportunities and drive continuous service improvement initiatives in collaboration with CSI teams.
  • Strong analytical and strategic thinking skills, with the ability to assess risks, trends, service performance, and improvement opportunities.
  • Leadership and team management skills, with the ability to coordinate work, guide team members, and support effective operational delivery.
  • Excellent stakeholder management and escalation handling skills in complex enterprise environments.
  • Excellent communication skills with the ability to collaborate clearly and effectively with technical, non-technical, management, audit, and compliance stakeholders.
  • ITIL v4 Managing Professional certification is mandatory.
  • Agile or Scrum certification is preferred.
  • Excellent command of both spoken and written English and German.
