Our business is expanding, and we are looking for a Sales and Operations Executive (Quoter) to work in a home-based capacity or in one of our offices in Europe.

Your Mission

You will be at the heart of our FIT operations, ensuring seamless coordination and execution of tasks, you’ll be working with all of Europe as a destination and our client base is global.

The position is full time, and the start date is immediate. Prior experience with similar duties is a plus.

Key responsibilities

• Create and manage complex offers to agents based on requests coming in via email.
• Do research on destinations/suppliers/services as part of creating offers.
• Liaise with agents with a goal to grow the business with agents assigned to you.
• Book hotel space with relevant suppliers before handing over to Operations.
• Perform handovers of confirmed offers to the Operations department for fulfilment.
• Log each request and report progress to your manager.
• Monitor receipts from customers.

Secondary responsibilities

• Liaise with internal ops staff and fulfil confirmed travel reservations.
• Make and manage bookings with suppliers e.g. hotels, transport, tours, entrances, restaurants.
• Load and maintain booking information in our back-office system.
• Create travel documents out of the back-office system and send to customers.
• Manage SLAs and deadlines with suppliers and customers.
• On-tour support during office hours and outside of hours.
• Approve purchase invoices and liaise with the accounts department.
• Sales – take part in exhibitions and make sales calls.
• Assist with data entry tasks e.g. maintenance of Agent and Supplier records.

Key qualifications & traits

• Languages: A high level of English is key.
• IT proficiency: very important that you are comfortable with MS Office and a quick study on back-office systems and other travel trade systems.
• Attention to detail: Lots of details to keep track of. Work to minimize errors. Nice and tidy correspondence that looks professional is key.
• Commitment: Need to be goal-driven and someone who treats the business as if it were their own.
• Initiative: Important to be self-motivated and to work on doing things better and faster as well as to drive sales. Each employee gets a lot of independence and responsibility early.
• Flexibility: Travel is notoriously unpredictable. There are many changes during the booking and operations process. Important to understand and adapt to each situation.
• Team spirit: To be effective you need to be a team player at EI. Social skills are important.

• Average Gross margin: 20%
• Conversion rate, Quote to Book: 15%
• Refunds: Max 1% of gross margin
